Reducing the Size of Your Mailbox

 

Read, then immediately delete, personal messages that contain pictures or videos.
    
Messages that do not relate directly to your daily job responsibilities should never
     be stored, printed, etc. on SISD equipment.

Do not subscribe to e-mail lists that are not educational publications.
    
E-mail lists that are not educational publications may relate to your
     job description, but have a very high potential for making you a
     victim of SPAM.  Usually, educational publication sources do not
     sell e-mail addresses from their subscription lists, but most other
     list sources will, as it is an easy revenue resource for them.

Check your Sent Items folder each week to remove messages you do not need to keep.
    
Make sure to delete all personal messages that contain pictures or videos from the Sent Items folder.

Use discretion in using the Return Receipt feature. 
    
Most likely, it is not necessary to utilize it for every message that is sent.
     Check once per week to see what Return Receipt messages can be deleted.

Check the size of your mailbox regularly. 
    
You can find out how much space each of your folders is using on the server:

Right-click the folder named  Mailbox - your name (example:  Mailbox - Doe, John )
Click Properties
Click the Folder Size... button
This will show you what folders need to be cleaned out

Configure your mailbox to automatically empty the Deleted Items folder whenever you exit Outlook:

Click Tools
Click Options
Click the Other tab
Check the first box:  Empty the Deleted Items folder upon exiting
